Local Authorities no longer have a statutory duty to collect the KS1 assessment on behalf of schools to submit to STA/DfE. This is now optional if the LA wishes to offer the facility to schools and if the school wishes to supply the data to the LA. This page now also contains details required to deal with the fact that school MIS suppliers no longer need to maintain the KS1 exports format in the same way they did previously.

Key Stage 1
Used for: Importing data submitted by schools
Files available from: Direct from schools
When: June each year
Import route: Import > Key Stage 1
Contains: KS1 Teacher Assessment judgements across Reading, Writing and Maths
Extracts from school MIS: Each school MIS will have a different extraction routine, however it is expected that this will be the same as it was when KS1 was last statutory in 2023. LA who offer support to schools around usage of MIS may be able to provide more details to schools, otherwise schools may need to check with their suppliers.
Key Stage 1 Pupil Import Files
Keypas accepts two types of pupil data files, CTF (.xml) output from the (pre-2023) DfE spreadsheet (as .csv). For CTF and CSV files the file format should look like the examples below.
- nnnDDDD_CTF_nnnLLLL_xxx.xml
- KS1_DDDD_yy.csv,or,KS1_UUUUUU_yy.csv

- nnn = LA number
- DDDD = 4 digit DfE number
- UUUUUU = 6 digit URN number
- xxx = Incremental export number
- yy = Year
- LLLL = Fixed value

2026+ Update
Some MIS providers are not supplying a 2026 (and beyond) KS1 CTF export, however it is still possible to import this data with minor modifications. For the CTF these can be checked and edited in notepad.
CTF files
Where results are submitted in a CTF file, the following items will need to be checked:
- <CTFVersion>25.0</CTFVersion> (1 change per file)
- <AcademicYear>2025</AcademicYear> (1 change per file)
- <Year>2026</Year> (1 change per pupil - see below)
Suggest using FIND <Year>2025</Year> and REPLACE with <Year>2026</Year>
There is nothing in the name of the file that needs to be updated for a CTF.
It is very important that you do BOTH the <AcademicYear> and <Year> changes as specified above otherwise you will import/overwrite 2025 results with those from 2026.
Note the above is correct in that <AcademicYear> should be as the start of the academic year (i.e. 2025 in 25/26) while the <Year> is 2026 as the calendar year the assessment is taken.
The CTF version in 2026 can either show 24.0 or 25.0.
CSV files
Where results are submitted in a .csv format (from the pre-2023 KS1 DfE spreadsheet), the following items will need to be checked:
- File name KS1_XXXX_26 where XXXX is the DfE number of the school
There is nothing in the content of the file that would need to be updated for CSV, but the file name MUST carry the correct year
