Keypas > DfE Returns
The DfE returns sub-tab is where LA users will go to generate the files to submit to DfE on behalf of schools.
As such this is a critical element of the system for Local Authorities to fulfil their statutory duties in terms of assessment data submission.
Each submission has it's own option on the page:

EYFSP | This option will generate the appropriate file for the selected year for the Early Years Foundation Stage Profile (statutory for all LA) |
KS1 | No longer required - this assessment was made non-statutory after the completion of the 2023 collections. |
KS2 TA CTF Files | This option is used by some LA, but not by the majority. LA who have an agreement with their schools to submit KS2 Writing Teacher Assessment on behalf of their schools will need to use this option but it is non-statutory for all other LA. Most schools submit direct to DfE via the Primary Assessment Gateway |
KS2 Test and TA CTF Files | This option is no longer used. LA no longer have to submit Test and TA CTF files to the DfE (please see the note above under KS2 TA CTF Files) |
Phonics |
This option will generate the appropriate file for the selected year for the Phonics check (statutory for all LA) |
When you make select an assessment to generate a file, you will be presented with a screen much like that below:
Depending on the time of year, it may indicate there are no records available for the specified year. This may because no files have been imported yet and the default year has already been advanced ready for assessment season. Or it might be because there were no collections in the year indicated (2020 and 2021 were missed for all assessments apart from Phonics due to Covid-19).
When there are imported assessments for the specified year, you will see a screen like the below:
All the schools with loaded files will be listed (with a vertical scroll bar on the far right.) Before opting to export the necessary file, scroll through the list and ensure that the 'Errors' column shows as 'No' for all schools that will be included. (Any school with errors will need to be resolved before the file is generated.)
Note: in the screen shot above, the files have already been exported and the 'exported' indicator shows as 'Yes', this will show 'No' until the export is generated.
You can then use the tick boxes to select schools or use the box at the top to tick all the boxes.
Click 'Export'
If there are still any errors in the schools you have selected you will be warned about this on the next screen.
You can either continue and generate the file or return to the schools list to identify and rectify the errors. If you opt to proceed then Keypas will create a folder to generate a file for each school that was ticked.
Once this process is complete the export for that assessment is completed.
